Executive Assistant
The National Democratic Institute for International Affairs (NDI) seeks to hire an Executive Assistant to effectively and efficiently manage and support the business affairs and daily activities of NDI's President's Office by performing the following duties. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Primary Responsibilities:Required Skills and Experience:
- Performs high level administrative functions of the Executive Office (screening calls and visitors, researching and preparing for speeches, transcribing and proofing correspondence for signature, etc.);
- Coordinates President's outreach to partner organizations, Administration Officials, and NDI field offices;
- Overseas arrangements for external meetings and visiting dignitaries;
- Generates travel preparations and scheduling for President and, when necessary, visiting dignitaries;
- Oversees the creation and maintenance of contact lists of dignitaries, embassy officials, political leaders, donor organizations and members of the international community;
- Serves as formal liaison between President's Office and Board of Directors; coordinates briefing materials, schedule details and prepares talking points as necessary;
- Arranges details for three annual Board of Directors meetings including, but not limited to, briefing materials, external speakers, and presentations;
- Maintains President's schedule and coordinates speaking engagements outside of NDI;
- Coordinates and oversees meeting arrangements and logistics associated with NDI Chairman's activities;
- Serves as informal liaison between the Executive Office and internal departments and staff; develops format and agendas for bi-weekly Directors meetings and monthly All Staff meetings;
- Provides high level assistance in organizational functions such as briefings, special events;
- Performs other duties as assigned by the President and Vice President.
- Bachelor's degree, preferably in International Relations or related subject;
- Minimum of four (4) years of relevant administrative experience at an executive level. Additional years of relevant work experience may be substituted for educational requirement on a one-for-one basis;
- Non profit and or international experience a plus;
- High level of interpersonal skills and cultural sensitivity to effectively interact with all levels of staff, US and foreign government personnel, members of donor organizations, funders and policy makers;
- Understanding of appropriate diplomatic protocol and procedures;
- Excellent oral and written communications skills (sound grasp of punctuation, grammar, spelling) to effectively present information, respond to questions, prepare written reports and organize conferences;
- High level of organizational skills;
- Ability to prioritize and multi-task;
- Working knowledge of PC based word processing and spreadsheet applications, including MS Office Suite; Proficiency in MS Outlook scheduling preferred;
- Ability to take initiative; and
- Familiarity with, and ability to learn and operate, various types of office equipment.
