Responsibilities: 

Reporting to the Chief Operating Officer, the UltraViolet Administrative Manager is based in Washington, D.C. While UltraViolet operates a virtual office, the Administrative Manager will staff and maintain UltraViolet's physical D.C. office space. You'll be a central player in the internal operations of UltraViolet and work closely with the Co-Executive Directors. The position responsibilities fall into three categories: 

Operations & Finance 
Process all contracts and invoices; assist staff in this process and answer their questions.
Manage UltraViolet Intranet systems and documents; ensure all documents are up-to-date and accurate. 
Recruit, vet, and manage UltraViolet's team of contract proofers.
Assist the COO and Deputy Operations Director as needed.

Administrative & Office Management
Maintain UltraViolet's DC office and storage space.
Receive and process UltraViolet's snail mail in D.C. and manage the UltraViolet info@ box.
Answer the UltraViolet telephone number and responded to inquiries as needed.
Coordinate ordering and distribution of all physical office supplies and materials.
Manage UltraViolet staff contact list and related information.
Other administrative and office support duties as needed.

Executive Support
Manage scheduling for the Co-Executive Directors.
Coordinate travel plans for the Co-Executive Directors.
Coordinate and submit all reimbursements and expenses for the Co-Executive Directors.
Provide additional executive support as needed.

Requirements: 

  • Five to eight years of professional work experience in office management, administration, operations, executive assistance, or a similar field.
  • Previous experience with executive scheduling and executive assistance. A demonstrated ability to "manage up" effectively and diplomatically.
  • Top-notch attention to detail.
  • Demonstrated ability to coordinate and facilitate the completion of large administrative or logistical projects in a timely manner, including meeting strict deadlines.
  • Experience prioritizing multiple projects and tasks; ability to proactively problem solve.
  • Excellent written and oral communication skills, including the ability to draft correspondences and other communications quickly with minimal direction.
  • Comfort with a virtual office. This position is based in DC, but the rest of our staff is throughout the country. The ability to communicate well in conference calls, instant messaging, and email is crucial 
  • Excellent judgment and discretion. 
  • Expertise with the Microsoft Office suite and Google Docs.
