ORGANIZATIONAL OVERVIEW
The Center for Democracy and Technology (CDT) is a non-profit public interest group, based in Washington DC with a presence in San Francisco, CA and Brussels, dedicated to keeping the Internet open, innovative and free. CDT is one of the world's premier Internet, technology and civil liberties advocacy organizations, working at the cutting edge of policy issues concerning free expression and privacy in a digital age.
POSITION DESCRIPTION
The CDT office assistant works closely with the Chief Operating Officer (COO) in support of CDT's Internet civil liberties mission. CDT is a small office of diverse staff and programs and needs a self-motivated, well organized, and flexible person interested in handling administrative challenges. The job requires an individual with the ability to handle a broad range of administrative and executive support tasks with very little supervision. This position is located in CDT's Washington, DC office.
RESPONSIBILITIES
- Answer phones and direct calls to appropriate staff;
- Interact with visitors and vendors;
- Open, sort and distribute incoming mail and facsimiles;
- Prepare bills/invoices for payment;
- Petty cash disbursement and replenishment;
- Collect credit card expense receipts for allocations;
- Calendar management for:
o General office to coordinate work flow and meetings;
o Conference room to set up and coordinate meetings and conferences;
- Sign for and distribute delivered packages;
- Prepare responses to correspondence containing routine inquiries;
- File and retrieve organizational documents, records and reports;
- Collect and maintain inventory of office equipment and supplies;
- Research and price office furniture, equipment and supplies;
- Arrange for repair of office equipment;
- Assists in special events, such as annual gala;
- Prepare agendas for weekly staff meetings;
- Office maintenance and organizational duties as needed;
- Other duties as assigned by the Chief Operating Officer and other senior staff;
The Office Assistant will also provide some services for Digital 4th, Internet Education Foundation (IEF), and Global Internet Initiative (GNI).
QUALIFICATIONS
The Office Assistant is a support staff position, designed for candidates with a college degree and up to 2 years experience or equivalent. An ideal candidate would have Hill experience and be able to interact and respond to all levels of staff and visitors; is proactive, efficient, resourceful, and highly professional and respects confidentiality. Characteristics include:
· Hill experience preferred;
· Exceptional calendar management skills;
· Experience scheduling travel arrangements;
· Proficiency with standard office software such as PowerPoint and Excel;
· Ability to work in multi-organizational environment;
· Excellent verbal and written communication skills;
· Exceptional planning and organizational skills;
· Attention to detail and resourcefulness;
· Ability to operate standard office equipment;
· Exceptional interpersonal skills;
· Self-motivation; and
· A dedication to CDT's mission of keeping the Internet open, innovative and free.
