(Career Progress) Opening: Executive Coordinator, Executive Office (COO/CFO)_ Community Change

Position Description: 

The Executive Coordinator will provide strategic support to the Chief Operating and Financial Officer with particular emphasis on scheduling, management of administrative tasks, planning, and project coordination on special projects and/or initiatives. This position will also provide backup support to the broader Executive Office, and play a key role in promoting a sustainable, professional, organized, and collaborative atmosphere.

The Executive Coordinator is an innovative self-starter, who takes initiative and drives projects and tasks to completion. The individual thrives in a fast-paced environment, demonstrates extremely strong time management, and can work both independently with minimal supervision and collaboratively as part of a team. The individual must exercise extreme discretion as s/he will handle confidential information and manage highly sensitive internal and external communications, demonstrate good judgment, be adaptive, flexible and highly trustworthy.

A portion of time will be spent working with Community Change's sister organization, Community Change Action.

Principal Responsibilities:  

 COO/CFO's Office Administration

  • Provides extensive and effective scheduling management of the Chief Operating and Financial Officer's calendar and appointments (ensuring a clear purpose and strategic use of the COO/CFO's time). This includes driving the coordination of appointments and meetings to support key areas of work the Chief Operating and Financial Officer is engaged in.

  • Supports the Chief Operating and Financial Officer's planning for meetings including developing materials, capturing notes, and driving timely follow-up.

  • Manages key logistical support, including booking travel accommodations, document editing and printing, processing and submitting expense reimbursements, timesheets and leave requests for the Chief Operating and Financial Officer.

  • Schedules and plans broader organizational meetings (internal and external). This includes compiling and organizing relevant background materials, preparing agendas and minutes, overseeing logistics, developing and managing budgets and monitoring follow-up activities.

Boards of Directors

  • Supports the Chief Operating and Financial Officer in various aspects of Community Change and Community Change Action Board activities.

  • Serve as a board liaison on high-level administrative and logistical matters.

  • Schedules and supports Community Change/Action Board committees and working groups as needed. This may include preparation of agenda and meeting minutes and other duties as assigned. 

  • Creates and disseminates board notes and minutes as requested, ensuring follow-up items are handled and/or communicated to the appropriate parties.

Events and Project Coordination

  • Oversees and manages logistics for specific Community Change/Action meetings, conferences, workshops and presentations. This includes scheduling, coordinating travel, securing and managing vendors and vendor contracts and developing and tracking budgets.

  • Coordinates projects under the supervision of the Chief Operating and Financial Officer.

  • Works closely and professionally with the relevant allies, partners, consultants and units across the organization to coordinate Community Change/Action meetings and/or events.

Writing and Communications

  • Drafts and formats letters and emails as appropriate for general and routine correspondence; mail correspondence, including potentially  confidential information, both internally and externally.

  • Prepares travel or meeting related documents, briefings, reports, itineraries,  etc.

Legal and Financial Compliance

  • Provides effective support for the workflow between all campaign related activities for the 501(c3), 501(c4), and related entities.

  • Develops agendas and implements initiatives to advance the team's goals.

  • Serves as a general liaison and conducts periodic check-in with external vendors.

  • Informs the design and implementation of team meetings and compliance trainings.

  • Provides leadership and collaborates with other staff within the organization to meet all of the event logistics planning for the team.

  • Responsible for note taking, research, filing, copying, mailing, and material preparation needs of the team.

  • Performs other duties as assigned.

Qualifications: 

  • Minimum of three years experience managing calendars for senior- level/executives.

  • Ideally, three to five years of experience in a fast-paced non-profit  environment. 

  • Demonstrate sound  judgement,  flexibility  and  patience; exercise discretion in dealing with highly confidential and sensitive matters – both internally and externally.

  • Familiarity with 501 (c)(3), 501 (c) (4), and electoral campaigns.

  • Fast learner, takes initiative and ability to drive projects to completion.

  • Excellent meeting, event planning and logistics coordination.

  • Strong project management skills – highly organized, impeccable time management skills, detail oriented, ability to consistently meet deadlines, and move and follow up on action items.

  • Ability to prioritize tasks, and work accurately under deadlines and  the  pressure of a fast-paced work environment.

  • Familiarity with the world of social change organizing and advocacy.

  • Strong writing and editing skills

  • Computer literacy required, including MS Office Suite and G-Suite skills. Familiarity with Slack, Salesforce platforms and Zoom video conferencing system a plus.

  • Excellent interpersonal communication skills, diplomacy and discretion.

  • Team player with the capacity to be resourceful and flexible.

  • Commitment to advancing economic and race and gender justice.

This position reports to: Director of Executive Office

Classification: Community Change recognizes a staff bargaining unit affiliated with IFPTE Local 70, a union for non-profit workers. This position is not included in Community Change's bargaining unit therefore not covered under the terms of the collective bargaining agreement.

Travel Requirements: This position may require some limited travel.

Salary & benefits: Starting annual salary of $65,000-$70,000 commensurate with experience. Community Change offers an excellent benefits package, which includes 4 weeks of annual paid vacation; additional paid holiday leave between December 24 and January 1; 8% employer contribution to retirement account after six months of employment (and 3% employer contribution for the first 6 months); and a choice of generous health insurance plans.

Position Location: Community Change/Action is based in Washington, DC.  Washington, DC is the preferred location for this position.  Remote work is acceptable, however (frequent) visits to the DC office will be required upon the office reopening from the COVID-19 pandemic.

Position Description:

The Talent Acquisition Manager is responsible for managing the administration of the full recruitment life cycle starting from creating and sustaining employer brand awareness, to the application, selection and onboarding. The Talent Acquisition Manager is highly relational, and works closely with hiring managers and the Director of Talent Acquisition to support an equitable and effective recruitment, hiring and onboarding process.  

A portion of time will be spent working with Community Change's sister organization, Community Change Action.
Principal Responsibilities:

Talent Acquisition (Administration of Recruitment and Onboarding) (80%)

  • Manage the administration and day-to-day functions of recruitment and onboarding including pipeline development/sourcing, posting, screening, references, offer, and onboarding.

  • Serve as lead for managing and coordinating (scheduling, agenda, meeting logistics and follow-up) key talent acquisition-related efforts including, including New Staff Orientations, New Staff Buddy System, etc.

  • Manage orientation schedules and onboarding process for new employees, and help to design new hires onboarding experience surveys and analyze feedback.

  • Support efficient recruitment and onboarding systems and processes by developing strong partnerships and communication with hiring managers.

  • Ensure staff are updated on talent developments, including job openings, professional development opportunities, and the other relevant news in a timely manner..

  • Partner with key staff to manage and promote strong brand and presence on external sites/boards (including our organizational websites, LinkedIn, etc.). 

  • Provide logistical support, process and submit expense reimbursements, contracts, and invoices.

  • Provide support to general People and Culture projects and initiatives.

Talent Acquisition Data, Systems and Processes (20%)

  • Manage and maintain accurate applicant tracking system (ATS) and data.

  • Support strategic coordination across People Ops data systems and processes.

  • Provide support and data entry to the Human Resources Information System (Paycom).

  • Track and analyze data metrics around attracting and retaining talent through staff surveys and other forms of feedback.

  • Regularly evaluate and leverage data to continually assess and evolve recruitment and onboarding systems, policies and practices to make sure they are equitable and effective.

Qualifications: 

  • 3-5 years work experience in People Operations and data systems, and ideally in a social justice or nonprofit environment.

  • Demonstrates diplomacy and an ability to maintain confidentiality.

  • Results-oriented with strong organizational and analytical skills; excellent problem-solving and follow-through skills.

  • Ability to plan and prioritize work activities, use time efficiently, complete work in a timely, accurate, and thorough manner and follow-up on assignments with a minimum of direction.

  • Ability to work independently and as a team member.

  • Excellent interpersonal and verbal and written communications skills. Can work well with staff at all levels of the organization and with others outside the organization.

  • An understanding of how the interrelationship of people/processes and technologies create results and the ability to navigate and build relationships and strategic partnerships at all levels across the organization and externally.  

  • Ability to react quickly within a constantly changing environment. Flexibility to adapt style and method based on what is needed.

  • A proactive approach to duties, continually looking at ways to improve processes and efficiency of the department. Remains open to others' ideas and exhibits willingness to try new things and new ways.

  • Uses initiative to deliver overall objectives; knows when to seek guidance or escalate to others and takes appropriate action to minimize issues.

  • Strong computer and internet research skills. Proficiency using MS Outlook, office applications such as Google Suite.

  • Must be comfortable using data and technology to increase efficiency, enhance decision-making and better support our organizational goals.

  • Works with the Director of People and Culture, and other leaders and supervisors to understand talent needs and develop or update position profiles and postings that effectively articulate those needs and competencies.

  • Ensures compliance with federal, state, and local employment laws and regulations, and organizational policies.

  • Proactively research and analyze talent trends to advance and further strengthen equitable and effective recruitment and onboarding at Community Change/Action.

  • Reports talent acquisition data and trends to leadership to help strengthen the staff experience and support the advancement of organizational goals.

Qualifications: 

  • 7 to 10+years experience in nonprofit management experience, ideally in progressive movement/social change organizing or advocacy organization.

  • Preference for professional certifications  in Human Resources and/or related field (eg. SPHR/PHR or GPHR).

  • Proven experience in nonprofit HR/people operations.

  • Demonstrate sound  judgement,  flexibility  and  patience; exercise discretion in dealing with highly confidential and sensitive matters – both internally and externally.

The Director of People (HR) Administration will be a hands-on leader and manager for  the development, implementation and administration of core areas supporting our staff including compensation, benefits, leave, and people-focused policies, procedures and the critical systems to support the employee experience at Community Change/Action. As a leader within a multi-faceted People and Culture Unit, this position serves as a critical partner to staff and leadership to ensure core People functions including compensation, benefits and leave are well administered, and key People policies and procedures are equitable and easily accessible, understood, and navigated by all staff across the organization. A successful candidate has an extensive background and understanding in HR/People Operations and thrives on strengthening systems, processes and procedures, always looking for ways to improve, simplify, or enhance the norms to bring about a better experience for all.  This person also has a strong grasp of efficient HR/People administrative practices, ensuring compliance without excess burden.

  • Reviews and analyzes the comp/benefits market trends, regulations, and practices, to recommend and develop competitive programs and services to advance staff retention goals.

  • Oversees and ensures compliance and strategic use and effectiveness of HRIS and employee records.

  • Proactively research and analyze talent trends to advance and further strengthen equitable and effective People Administration at Community Change/Action.

  • Perform data analyses and report out to help strengthen the staff experience and support the advancement of organizational goals.

  • Manage corporate insurance programs in consultation with leadership. .

Office/Facilities and Remote Workspace (15%)

  • Oversee the occupational health and safety, and strategic and effective use of the headquarters office/facilities.

Qualifications: 

  • Professional certification in Human Resources and/or related professions (SPHR/PHR or GPHR).

Salary & benefits: Community Change offers competitive salary and an excellent benefits package, which includes 4 weeks of annual paid vacation; additional paid holiday leave between December 24 and January 1; 8% employer contribution to retirement account after six months of employment (and 3% employer contribution for the first 6 months); and a choice of generous health insurance plans.

Position Location: Community Change/Action is based in Washington, DC.  Washington, DC is the preferred location for this position.  Remote work is acceptable, however (frequent) visits to the DC office will be required upon the office reopening from the COVID-19 pandemic.

A great program. And this (or something like it) is so important while we care for our DMV/national community through the art we create and curate. Each artistic endeavor is absolutely an act of love and care. Own it and be proud, but also, what do we need to refresh, renew, and heal when we provide such soulwork for our communities? 

Programs like this one. 

Overwhelm the providers of these services with responses and scheduling so that they hear and recognize their (GWU and DC Office of Cable TV, Film, Music & Entertainment) responsibility and importance in the cycle of community-centric creation/sharing/renewal.

Position: Legislative Political Coordinator (Eastern Region)

Location: Chicago, Illinois or Remote

Salary:  $52,000-$72,800/year

End Date: 11/30/2022

Position Summary:

Progressive Turnout Project (PTP) seeks applicants for the Legislative Political Coordinator role for the 2022 election cycle who are passionate about connecting and strategizing with campaigns, candidates, and coalitions in the name of strengthening PTP's support of Democratic wins in highly competitive state legislative races. This position will be based out of our Chicago, IL, headquarters with remote options available.


The Legislative Political Coordinator is directly responsible for outreach to campaigns and creating partnerships throughout the 2022 election cycle, including bridging the gap between campaigns and our Fellows Program, at the direction of the Legislative Political Director. The Legislative Political Coordinator is responsible for creating and maintaining relationships with state legislative political allies, while also implementing departmental initiatives for strengthening bonds and adding new ways we can support candidates. The duties of this position are subject to modification in response to program or organizational needs.


This position is eligible for benefits, including employer-sponsored health, dental, and vision insurance, FSA, 401(k), student loan repayment assistance, public transportation stipend (for HQ-based staff), paid time off, and paid holidays.


There are no formal education requirements for this position. People of all backgrounds are encouraged to apply. 

Responsibilities:

  • Learn and apply our organizational values to foster a strong culture based on trust and mutual respect

  • Lead and manage political outreach to state legislative candidates in competitive races across the country

  • Drive the implementation of an outreach and relationship-building program that has measurable goals, such as sending and receiving back endorsement questionnaires, coordinating with campaigns on fundraisers and volunteer actions, and ultimately contributing to a positive Fellows program for the campaign

  • Represent PTP in key tables, coalitions, and meetings with allies and state partners as it relates to legislative programs

  • The responsibilities listed are a general overview of the position and additional duties may be assigned

Qualifications (You will be a good fit if):

  • You have at least 3-4 years experience managing political outreach programs, with a proven track record of setting, supporting, and leading a program in achieving priorities

  • You are committed to establishing a culture of community and respect in the workplace, and contributing to the development of best practices

  • You consistently deliver solutions in a creative and imaginative manner while setting a standard for others

  • You have a proven record of managing successful, large programs across coalitions, utilizing the uppermost levels of expertise in resolving issues and accomplishing goals in challenging and complex situations

  • You often take a leading role in highly pressurized situations when there is a need to resolve high priority issues, working through the issues with grit and a solutions-oriented approach

  • You have exceptional listening skills, verbal and written presentation skills, and a track record of inclusive decision-making with a diverse group of stakeholders

  • Able to travel to campaign offices, PTP HQ or other locations occasionally

  • You're proficient in G Suite Products (Gmail, Calendar, Drive, etc)

Preferred Qualifications (Not Required):

  • You have previous experience on state legislative or coordinated campaign in any of the following states: Maine, Maryland, New Hampshire, or Pennsylvania 

  • You have previous experience engaging or working with state legislative caucuses

  • You are fluent in Spanish

  • You are proficient in Microsoft Office
