(Career Progress) Operations & Finance Director -- VoteRiders -- Remote!

Operations and Finance Director

VoteRiders is a nonpartisan 501(c)(3) nonprofit focused on voter ID education and assistance, working nationwide and in key states to raise awareness of voter ID laws and providing comprehensive assistance if they need it.

Currently seeking an experienced and highly-motivated Operations and Finance Director to help support and scale our growing program portfolio and partnerships, as well as nationwide staff and volunteer base.

This individual will report to the Chief Executive Officer/Executive Director in implementing and closely monitoring organization-wide systems and processes, including managing financial transactions undertaken by the organization, its staff, and volunteers. The Operations and Finance Director will have significant management responsibilities across VoteRiders' human resources, operations, and financial management policies and procedures.

This is a full-time permanent position and is available ASAP. This position has one direct report and occasional part-time direct reports, in addition to some vendor and volunteer management. This individual may be located anywhere within the United States.

VoteRiders/operations-and-finance-director

Founded almost 10 years ago, VoteRiders is a nonpartisan 501(c)(3) nonprofit that is focused on voter ID education and assistance. We work nationwide and in key states to raise awareness of voter ID laws, make sure voters know what ID they need to vote in their state, and provide comprehensive assistance if they need it. Our programs identify, educate and help voters with voter ID issues so they can vote with confidence, knowing they cannot be turned away.

PRIMARY RESPONSIBILITIES

30% General Operations & Special Projects

  • Maintain and manage organizational databases and files
  • Monitor adherence to and design/implement updates as needed to organizational standard operating procedures
  • Continue the implementation of a systems and tools audit and assessment (started in early 2021), involving the improvement and replacement of select systems and management and optimization training for staff and volunteers
  • Manage ongoing workflow system and tool improvements, including the development and rollout of an organization-wide voter intake system and training staff/volunteers on how to use it. Pull regular reports and analyses as needed
  • Provide limited and as-needed IT support for staff and volunteers including research, training, and ongoing troubleshooting

30% Financial Management

  • Negotiate with and manage vendors and suppliers
  • Manage vendor pricing and ongoing costs including monthly reconciliation and reporting
  • Process and pay all non-HR vendor invoices
  • Produce monthly expense reports that align with organizational budget line-items
  • Track budget on an ongoing basis and update it with incurred expenses/income, including flagging any variations in line-items and overall vs projections
  • Produce reports as needed on expenses/budget snapshots
  • Produce drafts of budgets and financial reports for proposal-writing and development purposes as needed
  • Manage VoteRiders' annual audited financials process, working with an external firm and the Board Audit Committee
  • Update VoteRiders financial policies and procedures document on an as-needed basis (building on existing draft policies)

30% Human Resources & Personnel

  • Manage payroll, working with payroll and workers' comp providers; pull and provide regular reports to accountants
  • Manage health reimbursement program with third-party administrator; pull and provide regular reports to leadership team
  • Manage general HR inquiries including but not limited to pay stubs, sick days, vacation requests, health reimbursements
  • Work with HR vendor and HR-relevant state agencies, as occasionally needed, including but not limited to state business and nonprofit tax registration and reporting
  • Handle annual insurance renewals, including managing staff and volunteer auto insurance compliance
  • Work with leadership on organization and departmental structure with consistent, equitable hiring process including job description and salary band reviews, job posts, employee intake and departure process
  • Manage Employee Handbook review and acknowledgement process
  • Establish and manage performance review process
  • Encourage team morale and wellness through policies, procedures and professional development, ensuring role clarity across teams with clear, effective communication channels and representation
  • Research and implement a retirement planning program for employees based on Board approval

10% Expense Reconciliation

  • Oversee, ensure quality control, and ensure adherence to organizational policies and procedures in expense reconciliation
  • With Operations Assistant, train staff and volunteers on expense reconciliation and reimbursement processes and systems
  • Manage related systems and tool costs, ensuring that our expense reconciliation software is meeting organizational needs and providing value for money

QUALIFICATIONS

Required

  • Undergraduate degree with major in business, finance, management, or related field
  • Significant experience in similar role, including ideally at a nonprofit organization
  • Demonstrated ability to manage details with precise accuracy
  • Resourcefully solve problems and follow through with minimum direct supervision
  • Excellent written, verbal, and interpersonal communications skills and highly responsive
  • Ability to multitask, meet deadlines, and thrive in a fast-paced environment
  • Ability to build strong and sustainable collaborative relationships that achieve actionable results
  • Exceptional interpersonal skills and entrepreneurial spirit
  • Must believe in the value of VoteRiders and be driven by its mission
  • Regular and consistent access to a reliable computer, internet signal, and telephone
  • Strong computer skills, including Microsoft Suite, Google Suite with aptitude to learn new software and systems
  • Experience with Quickbooks and other accounting software

Preferred/Plus

  • Advanced degree in business, finance, or CPA
  • Experience with donation and CRM software, database platforms, WordPress, Adobe Creative Suite, and VAN
  • Spanish language skills

COMPENSATION

This position has a salary range of $85,000- $110,000 annually, commensurate with experience, as well as healthcare benefits, paid sick leave, and paid time off per the policies outlined in VoteRiders' Employee Handbook.

YOUR IMPACT

Hub Team Management

  • Provide strategic direction, leadership, and direct management to the leadership team of the central Hub departments, including the Directors/EVPs of business operations, human resources, data and technology, legal, communications, marketing, and organizing

  • Ensure each Hub department maintains industry-standard best practices for administration, people & culture, compliance, organizational equity and inclusion, marketing, communications, and systems development and management
  • Oversee the legal operations of Civic Nation and manage the Senior Legal Counsel in addressing legal risks and issues 
  • Work with Hub team leadership to develop capacity to provide operational strategy and support to all initiatives, campaigns, and programs 
  • Develop capacity within the Hub systems, processes, and resources to flexibly launch new programs and campaigns, as well as create and sustain new initiatives

Organizational Development

  • Partner with the leadership and staff to foster and cultivate a culture that promotes the organization's values 
  • Lead Initiatives in organizational management, performance management, and leadership development across Civic Nation
  • Lead institution-wide change management initiatives, effectively execute strategies, and increase the effectiveness and efficiency of operational systems and processes
  • Foster alignment of Civic Nation's diversity, equity, and inclusion goals with operations strategies

Executive Team Leadership

  • Work in close partnership with the Civic Nation's Executive team to identify opportunities to expand the resources and services provided by the Hub departments to better meet and serve the needs of the organization's existing and proposed Initiatives, programs, campaigns develop new resources to service new and evolving needs from both established and new Initiatives, programs, and campaigns across the organization
  • Collaborate with the Civic Nation Executive and the Senior Leadership Teams to set and communicate overall vision, strategic direction, and operational  requirements, and ensure alignment with program objectives across the organization
  • Foster a culture of collaboration, continuous improvement, and excellence  across programs, advocacy, development, and all the Hub departmental functions
  • In partnership with other executive and senior leadership team members, facilitate the use of objectives and key results (OKRs), performance indicators, metrics, and analysis to inform decision-making and foster accountability

YOUR EXPERIENCE

  • 8+ years of cross-functional management experience.
  • 5+ years in a senior and/or executive-level leadership role 
  • Demonstrated success working as part of a senior leadership team driving innovative operational strategy, moving between being a strategic advisor and thought partners to key executives and other senior leaders

YOUR COMPETENCIES 

  • Demonstrated commitment to racial justice, social justice, accessibility, and civic engagement  
  • A track record of successfully leading internal change management processes, especially as it relates to organizational design, human resources, and organizational culture
  • Demonstrated ability to think strategically and translate overarching goals and strategies into operational objectives 
  • Excellent written and verbal communication skills, with an ability to translate complex organizational data into clear and simple messages for a wide range of audiences
  • Collaborative leadership style with an all-hands-on-deck attitude
  • Ability to prioritize and focus effectively across a wide range of responsibilities 
  • Strong ability and experience to manage remote teams from across the United States 
  • Familiarity with Google Suites, Zoom, and Slack Work Environment: Mostly working remotely and is expected to work across US time zones. 

SALARY & BENEFITS

The Washington, DC-based salary range for this position is $170,000 - $210,000 (will be adjusted for cost of labor for the incumbent's work location) annually, commensurate with experience. (Career Progress) HIRING: Coordinator, My School Votes

Civic Nation seeks a Coordinator to support the My School Votes (MSV) team, and our growing MSV community of students and educators from across the country. This candidate will play an integral role on our growing team and program by performing a host of duties related to developing and delivering trainings, supporting our student network, managing data management systems, and content creation. The MSV coordinator reports to the Senior Director of My School Votes and works closely with the Director of Educator Engagement and the Director of Student Engagement.

[Unicum] A FELLOW HUNGARIAN NEEDS OUR HELP

I don't know the lady and gentleman mentioned, but that doesn't matter. Nor does it matter that they were part of the New Jersey Hungarian community, not the DC-MD-VA area. What matters is that they are Hungarian and need our help. The gentleman, Hungarian music violinist, Sandor, has been diagnosed with  second stage brain cancer. Please consider giving whatever you can, even if it's only five dollars. "Sok kicsi sokra megy" as our Hungarian proverb goes.

Subject: Info about the violinist, Sandorica, and his wife, who were a part of our Hungarian dance community

Some of you may remember the violinist Sandorica who was here in the US with his band, brought over by the Smithsonian for their summer focus on Romania.  He played at many events in the DC and New York area during the years they were here, leaving finally because they missed their families in Romania.  After this visit, Sandorica resumed his career in Romania, playing at local events as well as the Válaszút Mezőség Music & Dance Camp and other places frequented by Hungarian dancers.
 
Over these years a number of us from the NY/NJ area and DC have visited his family, always welcomed with friendship, good food, and great times together.  Recently Sandorica has become ill.  In addition, his wife, Maria, has been unable to get into the Romanian pension and senior health care program because she is short a few years' work, partly because the work she did in the US does not qualify.  She is allowed to buy in, but the cash amount is too much for their family.
 
It occurred to me that some of their friends could help with this problem, something that would take a burden off their shoulders that could not be dealt with in another way.  I have written the GoFundMe below, to raise the money to get Maria into the retirement system and perhaps to help with medical expenses.  It would be a wonderful thing if you were able to contribute, but this is also to let you know what is happening to people who were members of our North American community for a while.  If you want to get in touch with Sandorica and Maria (they are very happy to hear from all of us) please let me know.

Șandorică – Violinist from Transylvania
 
The family of the well-known violinist Șandorică (Ciurcui Alexandru) from the village of Soporu de Câmpie in Romania is facing two crises.  Recently he was operated on for a brain tumor, and he now is facing second-stage cancer.  He is under treatment, but in serious condition.  Șandorică and his wife, Maria, got to know many Americans involved in traditional music and dancing when they performed for Romania at the Smithsonian Festival in 1999 and lived for a time in the United States.  Șandorică and his band performed frequently for groups and events in Washington, DC area, and at dance parties there and in New York.  We have continued to be in touch with these wonderful people.  Maria has spent her life supporting the work of her husband.  To enter the Romanian pension system, she must give evidence of work for 15 years. She is able to prove 12 years of work.  The Romanian system allows Maria to make up the rest of the years to 15 by paying $3,500.  However, with the irregular wages of a musician and the need to take care of their family, it has not been possible for Șandorică and Maria to make up this sum by themselves.  Șandorică's condition has made it even more important to help Maria join the national system. Contributions to this Go Fund Me will go first for her pension application and then to aid them both in this dire situation.

(Career Progress) HIRING: Director of Educator Engagement - My School Votes

Civic Nation seeks a Director of Educator Engagement to lead When We All Vote's (WWAV) My School Votes' (MSV) educator community nationally and in crucial states. This candidate will play an integral role in our growing team and program by performing a host of duties related to engaging educators, growing this network, supporting schools in starting MSV Clubs and implementing our Civics 101 content. Additionally, there will be an emphasis on establishing and managing district-level partnerships that include delivering professional development training. The Director of Educator Engagement reports to the Senior Director of My School Votes and collaborates closely with the Director of Student Engagement. This position is a remote working role.

YOUR EXPERIENCE

  • 5+ years of experience working in education, preferably in a classroom, school, or district, or in stakeholder engagement working with educators.

  • Work across different regions and education professionals of various levels
  • Work with local, state, or national organizations

SALARY & BENEFITS

The Washington, DC-based salary range for this position is $85,000 - 95,000 (will be adjusted for cost of labor for the incumbent's work location) annually, commensurate with experience. Civic Nation seeks an Executive Vice President of Data & Technology who will oversee all of the data and technology systems, infrastructure, tools, analysis, and strategy for Civic Nation and its Initiatives, programs, and campaigns.  The EVP of Data and Technology is responsible for several data and technology priorities, including development, administration, and maintenance of Civic Nation's tools, systems, and platforms; building and managing the Data and Technology team; overseeing the development and execution of the organization's research agenda; and overseeing data analyses, analytics, and engineering.

  • Develop and oversee an information technology team for Civic Nation and recruit IT staff to manage IT work for the organization effectively
  • Expand and maintain Civic Nation engagement tools and platforms (including those developed in-house, acquired, and licensed) with a focus on clear development roadmaps, usage, and adoptionOversee an engineering team that develops, manages, maintains, and administers Civic Nation's internal and external tools, systems, and platforms 
  • Develop and execute strategic plans for data and technology with each of the initiatives and across Civic Nation's hub teams to expand and enhance each program's organizing and outreach work; foster data collection, reporting, and analysis; and integrate tools, systems, and platforms as necessary
  • Develop and execute a long-term strategic plan to build and maintain a robust data infrastructure to service the Civic Nation hub and Initiatives
  • Grow and develop the technical capacity for Civic Nation to  become an industry-leading research and development hub for internal programs and Initiatives, as well as the broader community 
  • Lead the development and implementation of Civic Nation's research agenda to support data-driven program growth and expansion across all of the organization's Initiatives, programs, and campaigns, as well as provide research-based learnings and insight to the broader community on civic engagement and social change
  • Participate as a member of Civic Nation's senior leadership team to contribute and drive organizational long- and short-term goals, strategies, and efforts

YOUR EXPERIENCE

  • 8+ years in a senior-level data and/or technology management role
  • 8+ years in technical team management, program/project management, data infrastructure, and data systems
  • Strong background and experience in data analysis and/or engineering

  • Excellent written and verbal communication skills, with an ability to translate complex organizational data into clear and simple messages for a wide range of audiences
