(Career Progress) Office Manager Job Opening: Smoot Tewes Group

Smoot Tewes Group brings together a unique team of seasoned political professionals who have operated at the top levels of politics and government. We are a small to medium firm in Washington, DC, comprised of strategic architects, communications professionals, and advocates who can execute a full suite of public affairs tactics.

 

STG is a friendly, casual work environment that is seeking to improve organization and office structure while retaining the core culture of the firm.

 

We are seeking an Office Manager to organize, direct, and coordinate all of the firm's operations. You will be responsible for improving productivity and efficiency through the implementation of effective methods and strategies for the team. You will manage a team of interns and coordinate with the Chief Financial Officer, providing administrative support.

 

Responsibilities

 

·         Space Management: 

o   Maintain office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions

o   Monitor and stock office supplies

o   Ensure upkeep of all communal spaces (kitchen, copy room, conference room, front desk, and lobby area)

o   Act as point of contact for building maintenance and issues

o   Open the office each morning (ground review, turn on lights, check coffee, etc.)


·         Staff Management: 

o   Supervise office interns

o   Oversee on boarding of new staff members, new staff orientation, new staff tours, and training of all new staff on office procedures and equipment

o   Coordinate and/or support staff training and review process with managers 

o   Assign email and phone numbers as well as supply needs for new hires

o   Schedule employee reviews

o   Maintain all personnel files


·         Operations Management:

o   Evaluate regularly the efficiency of business procedures according to organizational objectives and apply improvements

o   Keep updated record of office expenses and receipts

o   Collaborate with departments and review new position descriptions

o   Benefits administration (Smart Trim, FSA, etc.)

o   Maintain, review, edit, and update operations manual

o   Datawatch system administration

o  Add new employees into system

o   Maintain controlled access

o   Monthly access report

o   Act as point of contact for tech support

o   Equipment procurement

o   Act as point of contact for systems management

o   Scheduling for operations including: floor plan, tenant issues and resolution, intern hiring process, posting new available job openings, interview scheduling, review and sort resumes, conduct interviews, orientation, intern events, and intern speaker series


·         Event Management:

o   Organize and act as point of contact for office social and business-related events

o   Plan bi-annual staff retreats 

o   Schedule and execute monthly staff meetings

·      

        Special projects as assigned


 

Requirements

 

    o                                   o    Bachelor's degree in operations management or related field preferred

                                          o    3-5 years in office administration or a related field

                                          o    Knowledge of office management and basic receptionist skills

                                          o    Hands-on experience with office machines (e.g. fax machines, copiers and printers)

                                          o    Proficiency in Microsoft Office, particularly Word and Outlook.

                                          o    Ability to effectively communicate

                                          o   Good organization and multitasking abilities

                                          o   Problem-solving skills

                                          o   Ability to have fun and work well with others

                                          o   Ability to work 9am-6pm, Monday-Friday
