This position also supports Community Change Action, an affiliated 501(c)(4) advocacy organization. While motivated by the same core values – equity, inclusion, and justice – Community Change and Community Change Action operate independently of one another and each organization has its own board of directors.

Position Description:

The Executive Coordinator will provide strategic support to the Vice President of Community Change/President of Community Change Action with particular emphasis on scheduling, management of administrative tasks, planning, and project coordination on special projects and/or initiatives. This position will also provide backup support to the broader Executive Office, and play a key role in promoting a sustainable, professional, organized, and collaborative atmosphere.

The Executive Coordinator is an innovative self-starter who takes initiative and drives projects and tasks to completion. The individual thrives in a fast-paced environment, demonstrates extremely strong time management, and can work both independently with minimal supervision and collaboratively as part of a team. The individual must exercise extreme discretion as they will handle confidential information and manage highly sensitive internal and external communications, demonstrate good judgment, be adaptive, flexible and highly trustworthy.

A portion of time will be spent working with Community Change's sister organization, Community Change Action.

Principal Responsibilities:

Executive Office Administration

  • Provides extensive and effective scheduling management of the Vice President's/President's calendar and appointments (ensuring a clear purpose and strategic use of the Vice President's/President's time). This includes driving the coordination of appointments and meetings to support key areas of work the President/Vice President is engaged in.
  • Supports the Vice President/President's planning for meetings including developing materials, capturing notes, and driving timely follow-up.
  • Manages key logistical support, including booking travel accommodations, document editing and printing, processing and submitting expense reimbursements, timesheets and leave requests for the Vice President/President.
  • Provides backup scheduling/calendar management and administrative support to the Community Change President/Community Change Action Vice President, Managing Director and the Chief of Staff; and provides general administrative support to the broader Executive Office.
  • Schedules and plans broader organizational meetings (internal and external). This includes compiling and organizing relevant background materials, preparing agendas and minutes, overseeing logistics, developing and managing budgets and monitoring follow-up activities.

Boards of Directors

  • Coordinates various aspects of Community Change and Community Change Action Board meeting logistics.
  • Serves as a board liaison on high-level administrative matters.
  • Schedules and staffs Community Change/Action Board working groups as needed. This may include preparation of agenda and meeting minutes and other duties as assigned. Creates and disseminates board notes and minutes as requested, ensuring follow-up items are handled and/or communicated to the appropriate parties.

Events and Project Coordination

  • Oversees and manages logistics for specific Community Change/Action meetings, conferences, workshops and presentations. This includes scheduling, coordinating travel, securing and managing vendors and vendor contracts and developing and tracking budgets.
  • Coordinates projects under the supervision of the Senior Project Manager, Executive Office and the Vice President/President.
  • Works closely and professionally with the relevant allies, partners, consultants and units across the organization to coordinate Community Change/Action meetings and/or events.

Writing and Communications

  • Writing: Drafts and formats letters and emails as appropriate for general and routine correspondence; mail correspondence, including potentially confidential information, both internally and externally.
  • Prepares travel or meeting related documents, briefings, reports, itineraries, etc.

Qualifications:

  • Minimum of two years experience managing calendars for senior-level/executives.
  • Ideally, three to five years of experience in a fast-paced non-profit environment.
  • Demonstrate sound judgement, flexibility and patience; exercise discretion in dealing with highly confidential and sensitive matters – both internally and externally.
  • Fast learner, takes initiative and ability to drive projects to completion.
  • Excellent meeting, event planning and logistics coordination.
  • Strong project management skills – highly organized, impeccable time management skills, detail oriented, ability to consistently meets deadlines, and move and follow up on action items.
  • Ability to prioritize tasks, and work accurately under deadlines and the pressure of a fast-paced work environment.
  • Familiarity with the world of social change organizing and advocacy.
  • Strong writing and editing skills.
  • Computer literacy required, including MS Office Suite and G-Suite skills. Familiarity with Slack, Salesforce platforms and Zoom video conferencing system a plus.
  • Excellent interpersonal communication skills, diplomacy and discretion.
  • Team player with the capacity to be resourceful and flexible.
  • Commitment to economic, race and gender justice essential.

This position reports to: Senior Project Manager, Executive office

Classification: Confidential. Community Change recognizes a staff bargaining unit affiliated with IFPTE Local 70, a union for non-profit workers. This position is not included in Community Change's bargaining unit and therefore not covered under the terms of the collective bargaining agreement.

Travel Requirements: Very limited (approximately 2-4 times a year).

Salary & benefits: Starting annual salary of $55,000. Commensurate with experience. Community Change also offers an excellent benefits package, which includes 4 weeks of annual paid vacation; additional paid holiday leave between December 24 and January 1; 8% employer contribution to retirement account after six months of employment (and 3% employer contribution for the first 6 months); and a choice of generous health insurance plans.

This position is located in Washington, DC. This is a full-time in-office position.
