About Community Change and Community Change Action:
Community Change builds the power and capacity of low-income people, especially low-income people of color, to lead powerful and dynamic movements for social change. With our community-based partner groups, we bridge the grassroots and the national, supporting outsider strategies to disrupt the status quo while also building pathways to influence the insider conversation.
Our vision of a better world centers the leadership of impacted people of color to move our work on immigrant rights, economic justice, and racial equity, including a focus on jobs and housing, early childhood care and education, income supports, and immigration reform.
This position also supports Community Change Action, an affiliated 501(c)(4) advocacy organization. While motivated by the same core values – equity, inclusion, and justice – Community Change and Community Change Action operate independently of each another, and each organization has its own board of directors.
Position Description:
The Executive Coordinator will provide support to the Co-President and Senior Advisor to the Co-President with particular emphasis on scheduling, travel, management of administrative tasks, planning, and project coordination on special projects and/or initiatives. This position will also provide backup support to the broader Executive Office, and play a key role in promoting a sustainable, professional, organized, and collaborative atmosphere.
The Executive Coordinator is an innovative self-starter, who takes initiative and drives projects and tasks to completion. The individual thrives in a fast-paced environment, demonstrates extremely strong time management, and can work both independently with minimal supervision and collaboratively as part of a team. The individual must exercise extreme discretion as they will handle confidential information and manage highly sensitive internal and external communications, demonstrate good judgment, be adaptive, flexible, and highly trustworthy.
A portion of time will be spent working with Community Change's sister organization, Community Change Action.
Principal Responsibilities:
Co-President's Office Administration
- Manages the Co-President's calendar, ensuring a clear purpose and strategic use of the Co-President's time. This includes driving the scheduling of appointments and meetings to support all areas of the Co-President's work.
- Supports the Co-President's preparation for meetings, including compiling materials, capturing notes, and driving timely follow-up.
- Provides logistical support, including booking travel and accommodations, managing files, editing and printing documents, processing and submitting expense reimbursements, and submitting Co-President timesheets and leave requests.
Events and Project Coordination
- Schedules and manages logistics for occasional Community Change/Action meetings, conferences, workshops and presentations, including compiling and organizing background materials, preparing agendas and minutes, coordinating travel and other logistics, securing and managing vendors and vendor contracts, developing and tracking budgets, and driving follow-up activities, in close coordination with relevant staff and partners.
- Coordinates other projects under the supervision of the Senior Advisor to the Co-President.
Writing and Communications
- Drafts and formats emails and letters professionally for general or routine correspondence with both internal and external audiences, under the supervision of the Senior Advisor to the Co-President.
- Prepares travel or meeting related documents, briefings, reports, itineraries, etc.
Boards of Directors
- Supports the Co-President in various aspects of Community Change and Community Change Action Board activities.
- Serve as a board liaison on high-level administrative and logistical matters.
- Schedules and supports Community Change/Action Board committees and working groups as needed. This may include preparation of agenda and meeting minutes and other duties as assigned.
- Creates and disseminates board notes and minutes as requested, ensuring follow-up items are handled and/or communicated to the appropriate parties.
Qualifications:
- Minimum of three years of experience managing calendars for senior- level/executives.
- Minimum of three years of experience in a fast-paced non-profit environment.
- Sound judgment, flexibility and patience, with the ability to exercise discretion in dealing with highly confidential and sensitive matters, both internally and externally.
- Familiarity with 501 (c)(3), 501 (c)(4), and electoral campaigns.
- Fast learner who takes initiative and can drive projects to completion.
- Excellent meeting, event planning and logistics coordination.
- Strong project management skills – highly organized, impeccable time management skills, detail oriented, ability to consistently meet deadlines, and move and follow up on action items.
- Ability to prioritize tasks and produce clean work product under tight deadlines and the pressure of a fast-paced work environment.
- Familiarity with the broad social justice organizing and advocacy landscape, as well as national politics.
- Strong writing and skills.
- Excellent interpersonal communication skills, diplomacy, and discretion.
- Team player with the capacity to be resourceful and flexible.
- Commitment to advancing economic, racial, and gender justice.
- Knowledge of remote-first organizational culture and systems.
- Comfortable using our remote work tools including Google Workspace, Microsoft Outlook, and Slack.
This position reports to: Senior Advisor to the Co-President
Classification: Community Change recognizes a staff bargaining unit affiliated with IFPTE Local 70, a union for non-profit workers. This position is not included in Community Change's bargaining unit therefore not covered under the terms of the collective bargaining agreement.
COVID-19 Requirements: Community Change requires all new employees to be fully vaccinated against COVID-19 (within six weeks after the start of employment) unless a medical or religious exemption is requested and approved. An employee will be considered fully vaccinated once (i) two weeks have elapsed since after the employee has received the final dose of a primary COVID vaccine series (e.g., two doses of the Pfizer-BioNTech vaccine, two doses of the Moderna vaccine, or one dose of the Johnson & Johnson/Janssen vaccine) and (ii) the employee has received any booster vaccine dose currently recommended by the CDC for those in the employee's age group. Should the CDC subsequently recommend additional boosters or should an employee otherwise become newly subject to a CDC booster recommendation, an employee shall continue to be considered fully vaccinated if the employee gets the additional booster within one month of the change.
Travel Requirements: This position may require some limited travel.
Salary & benefits: Starting annual salary of $65,000 – $70,000 commensurate with experience. Community Change offers an excellent benefits package, which includes 4 weeks of annual paid vacation; additional paid holiday leave between December 24 and January 1; 8% employer contribution to retirement account after six months of employment (and 3% employer contribution for the first 6 months); and a choice of generous health insurance plans.
Position Location: Community Change/Action is based in Washington, DC. Washington, DC is the preferred location for this position. Remote work is acceptable; however, visits to the DC office will be required upon the office reopening from the COVID-19 pandemic.
