Position Description:
This position is responsible for assisting the Executive Committee of the Board of Directors and Office Manager in overseeing the activities of the American Hungarian Federation
Job Accountabilities:
Oversee all administrative aspects of AHF including research, membership, registrations, preparation and mailing of membership dues
Assist organization with events. These include, but are not limited to Annual Conference, Hungarian Ball, Congressional events, Executive Committee meetings, Memorial and Comemoration events, panels and fundraisers. Jobs will include contract negotiations, logistics support, registrations, preparation of materials, and badges, etc.
Assist Office Manager in developing and instituting methods for quality control and accuracy in membership, meetings, and web site
Assist with keeping meeting minutes, then develop to do lists and manage and organize all follow on activities from meetings.
Work with IT Committee/Manager to update e-mail, web site, and social media as needed.
Write, proof, and mail correspondence, memos, reports, etc as directed by Office Manager. Determine variable information to include in multiple form letters to members and service contractors.
Assist Treasurer with Bank Statements, membership dues, credit card bills and writing of checks.
Staff Annual Meetings, congressional events, and social events as needed. Assist with, contract negotiations, coordination, registration, and set up for event.
Assist Office Manager and Executive Committee of the Board in responding to telephone and written requests for assistance
Other duties as assigned by the Office Manager and Executive Committee of the Board to contribute to the effectiveness, efficiency and growth of AHF.
Job Specifications:
Minimum Education: Bachelor's degree preferred; Associate degree required.
Skills Necessary:
Demonstrated reading, writing and speaking fluency in Hungarian and English. Demonstrated proficiency with computer, and Microsoft Office. Professional verbal and written communication skills. Excellent organization and analytical skills as well as the ability to adapt to a variable workload and function in a deadline-oriented environment.
Experience:
Minimum of two years related experience with problem-solving responsibilities or combination of relevant experience and education. Experience with computer functions preferred.
Supervision Received:
Responsibility for determining own work methods. Intermittent check on work methods and work products. Periodic updates to Office Manager and Executive Committee on assigned projects and duties.
Supervision Exercised:
May provide training and instruction to Intern or volunteers on projects or events.
Hours:
Approximately 40 hours a month. Will require some weeknight and weekend activities and once a week meeting at AHF offices (in Old Town Alexandria, which is accessible by Metro and Bus) to review work status. No other set weekly schedule is required.
Travel:
Limited to the Metro DC area. Very rarely travel in the continental US.
